Job Summary:
The Administrative Assistant provides clerical and organizational support to ensure efficient day-to-day operations. This role involves handling correspondence, scheduling, recordkeeping, and assisting staff and management with administrative tasks to support overall company productivity.
Key Responsibilities:
- Perform general administrative duties such as answering phones, responding to emails, and greeting visitors.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and other documents.
- Maintain organized filing systems (electronic and physical).
- Assist with data entry, recordkeeping, and database management.
- Manage office supplies inventory and place orders when necessary.
- Support onboarding and HR-related documentation when needed.
- Help prepare invoices, expense reports, and other basic accounting documents.
- Coordinate internal communications and assist other departments as needed.
- Ensure confidentiality and handle sensitive information with professionalism.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 1–3 years of administrative or office support experience.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Professional demeanor and attention to detail.
Work Environment:
- Office setting, Monday–Friday schedule.
- Regular use of computers, phones, and standard office equipment.
