Responsibilities:
- Review and manage customer accounts while working directly with clients to resolve discrepancies and inconsistencies
- Contact customers to obtain payment status and communicate account information related to collections
- Review billing and collections data to support the timely collection of outstanding invoices
- Maintain detailed and accurate electronic collection notes for assigned accounts
- Manage and coordinate outgoing customer communications, including statements and invoices
- Identify and resolve discrepancies related to cash applications
- Collaborate with facility teams, billing, and sales to resolve customer billing issues
- Process credit memos for adjustments, including pricing discrepancies, discounts, freight waivers, write-offs, returns, and duplicate invoices
- Maintain accurate customer master account information
- Request and track tax-exempt certificates as required
- Provide support on escalated accounts, including identifying issues, developing collection strategies, and contacting customers
- Monitor collection activities and account balances; recommend strategies to reduce and prevent past-due balances
- Identify problem accounts and collaborate with the collections team to resolve issues effectively
- Provide timely follow-up on customer inquiries and payment arrangements
- Ensure all collections policies and procedures are consistently followed
- Escalate issues to location leadership, sales, or management as appropriate and in a timely manner
- Review collections activities to identify opportunities for process improvement and increased efficiency • Provide assistance to management as requested
Qualifications:
- Minimum 3+ years of experience in a collections and cash application role
- Experience in the oilfield or energy industry strongly preferred
- Familiarity with customer payment portals such as OpenInvoice, Ariba, and similar platforms
- Strong ability to work effectively in a team-oriented environment
- Proven ability to work accurately under pressure, prioritize tasks, multitask, and meet deadlines
- Excellent verbal and written communication skills with all levels of the organization
- Strong interpersonal skills with the ability to interact professionally with customers and internal stakeholders
- Proficiency in Microsoft Office, with intermediate Excel skills
- Quick learner with strong problem-solving capabilities
