Fuel Logistics Coordinator
Job Summary
The Fuel Logistics Coordinator is responsible for coordinating daily fuel deliveries by processing customer orders, dispatching drivers, monitoring delivery progress, and ensuring safe, timely, and efficient operations. This role serves as a key point of communication between customers, drivers, and management while maintaining accuracy in dispatching, fuel pricing, and documentation.
Key Responsibilities
- Receive and enter fuel orders accurately into the dispatch system (Creative Energies).
- Schedule and coordinate daily fuel deliveries.
- Maintain communication with drivers and monitor delivery progress throughout each shift.
- Provide customers with delivery updates and professional customer service.
- Track delays, detention time, and operational issues, escalating concerns as needed.
- Prepare driver paperwork, truck assignments, and dispatch documentation.
- Verify delivery documentation and billing accuracy.
- Monitor fuel pricing and ensure accurate pricing entry.
- Conduct effective shift handoffs and review outstanding dispatch items.
- Support company safety initiatives and emergency response procedures.
- Provide backup dispatch coverage as needed.
Qualifications Required
- High school diploma or GED.
- 1–2 years of dispatch, logistics, trucking, transportation, or fuel industry experience.
- Strong computer skills, including Microsoft Outlook, Word, and Excel.
- Ability to work independently in a fast-paced environment.
- Excellent communication, customer service, and organizational skills.
- Strong attention to detail and accurate data entry skills.
- Dependable, punctual, and reliable.
Preferred
- Experience in the petroleum, fuel transportation, or trucking industry.
- Familiarity with fuel products, fuel terminology, and logistics operations.
- Experience with Creative Energies (CE) dispatch software.
- Experience with Samsara or similar fleet tracking systems.
- Ability to communicate confidently and professionally with drivers, customers, and internal teams.
- Comfortable receiving feedback and adapting to changing operational needs.
Work Schedule
- 12-hour rotating shifts.
- Availability to work some weekends and holidays as required.
